Organisation of the Europe Day reception between 2027 and 2030
Physical presence at the event venue in the central area of Budapest for the annual Europe Day reception (once per year, 2027–2030) Physical presence at the Representation's premises (35 Lövőház utca, 1024 Budapest) to collect and return equipment if requested from the Representation's stock Physical presence at the venue for installation, decoration, and standby period (at least 1.5 hours before the event) Physical presence at the venue for catering setup and standby period (at least 1.5 hours before the event) Physical presence for the test meal with Representation staff (up to 4 persons) prior to the event Invitation management (design of electronic invitations, sending personalised invitations by email via a GDPR-compliant system, handling emails, managing confirmations, reporting to the Representation on participant numbers) Preparatory and back-office work performed at the contractor's own premises
Tenderers can be natural or legal persons. Tenderers are not obliged to take a specific legal form in order to submit their tenders. Where tenderers submit a tender through an entity, which lacks legal personality (e.g., a branch), the compliance with the exclusion criteria, selection criteria, the rules on access to procurement as well as the absence of restrictive measures shall be assessed at the level of the tenderers. The tenderer or its subcontractor(s) providing catering services shall comply with all applicable legislation of local authorities and state regulatory bodies.
Tenderers must comply with the following selection criteria in order to prove that they have the necessary economic and financial capacity to perform the contract.
The tenderer must prove experience in the field of organising large-scale cultural or informational events, including catering services.
The tenderer must demonstrate that it has the necessary human resources to perform the contract in line with best professional practice. One project leader is required.
The tenderer must demonstrate that it has the necessary human resources to perform the contract in line with best professional practice. Two project assistants are required.
